The short answer

An audit-ready core system lets you answer four questions fast: who did it, who approved it, what changed, and does it agree with the ledger. Fix those four and the next audit is a lot less stressful.

Why audits go badly

Audit pain in SACCOs usually comes from the same few places: users sharing logins, loans approved outside the system, balances that do not agree with the general ledger, and changes to member data with no record of who made them. None of those needs new technology to find. They need the system to be set up to record and block them.

The checklist

  • Access: every user has their own login, access is by role and leavers are removed the day they leave.
  • Segregation of duties: nobody can create and approve the same loan, payment or journal.
  • Approvals: loans, disbursements, transfers, write-offs and journals go through an approval, recorded in the system.
  • Change log: changes to member records, loan terms, charges and setup are logged with user and time.
  • Reconciliation: deposits, loans and FOSA balances agree with the general ledger every month, and differences are explained in writing.
  • Opening balances: after any migration, the opening balances are signed off.
  • Evidence: you can print any loan file, member statement or return from the system without rebuilding it.

How SaccoFlow 365 supports it

  • Five role centers and eleven permission sets, so access follows the job.
  • Approvals through the Business Central workflow engine on the documents you choose, with a setting that makes approval mandatory.
  • A change log and an audit trail on core records.
  • An immutable deposit ledger, with reversals instead of deletion.
  • One posting facade to the general ledger, and reconciliation reports between sub-ledgers and the ledger.

Some things are not built as document-level reversals, for example loan disbursement and recovery. Those are handled by adjusting entries, which is worth knowing before an audit rather than during one.

Before the auditor arrives

Run the checklist yourself, sample ten loans end to end, and reconcile the three main sub-ledgers to the ledger. Where you find a gap, fix the process first and the system second.

Can loans be reversed in SaccoFlow 365?

Reversals are handled by adjusting entries. Document-level reversal of loan disbursement and recovery is not built.
