Business Central vs Xero: is it time to move?

Xero is excellent at what it is for. The question is whether your business is still the business it was built for.

What Xero does well

Simple, cloud-based accounting with a very large ecosystem of connected apps and good accountant and bookkeeper adoption. For many service businesses and small trading companies it is the right system and often the cheapest path to clean books.

Where businesses outgrow it

The usual triggers are operational rather than accounting.

Inventory moves beyond simple tracked items: multiple locations, lots, assembly or manufacturing
Multiple legal entities that need consolidation
Project and job costing with resource and WIP
Approvals, segregation of duties and audit trail that investors or lenders require
A growing stack of add-ons patched together to behave like an ERP

Area Xero (with apps) Dynamics 365 Business Central
Core approach Accounting platform extended by a marketplace of apps Integrated ERP: finance, supply chain, sales, service and projects in one system
Entities and consolidation Separate organisations; consolidation typically via add-ons Multiple companies in one tenant with consolidation
Inventory and warehouse Basic tracked inventory; advanced features via add-ons Locations, bins, lots, serials, warehouse and manufacturing
Costing and projects Project tracking via Xero Projects or add-ons Jobs with resources, WIP and costing
Customisation Apps and integrations Extensions, Power Platform and AppSource
Operating model One vendor ecosystem, light configuration Configured by a partner to your processes

Integration versus consolidation

Keeping Xero and adding apps is a legitimate strategy for a long time. The cost appears as integration maintenance, reconciliation effort and reporting that stitches several systems together. When that cost exceeds the cost of a single ERP, the case for moving is straightforward.

Frequently asked questions

Should we move from Xero to Business Central?

If your needs are simple, probably not. If you have multiple entities, complex inventory or manufacturing, project costing or tighter controls, it is worth assessing.

Can Business Central connect to our other tools?

Yes. Business Central integrates with banks, payroll, e-commerce, CRM and BI tools through APIs and connectors.

How is data migrated from Xero?

We migrate the chart of accounts, master data, open items and opening balances, and agree how much history to load.
